   Once you have identified your equipment needs and chosen a reliable supplier, success relies on proactive logistics planning. Coordinating how and when your heavy machinery or fleet vehicles will be delivered—while accounting for operational risks, compliance fees, and freight costs—is critical to a smooth purchase.


   Seamless equipment delivery requires tight collaboration between the buyer, seller, freight forwarders, and customs brokers. Clear communication prevents costly port delays, storage surcharges, and customs bottlenecks.

   

   Below is your ultimate reference guide to standardized Incoterms (International Commercial Terms), helping you manage cost allocation, risk transfer, and shipping responsibilities for cross-border equipment procurement.


Understanding Incoterms in Equipment Logistics

 

  Incoterms (International Commercial Terms) are universally recognized rules established to govern the delivery of imported goods. For cross-border heavy equipment transactions, Incoterms explicitly define:


  1. Financial Responsibility: Who pays for each leg of transportation, customs, and insurance.
  2. Transfer of Risk: The exact moment risk shifts from seller to buyer.
  3. Operational Duties: Who organizes export documentation, port handling, and ocean/inland transit.


Key Incoterms for Machinery Import & Export


1. EXW — Ex Works (Named Place)

  • Risk & Cost Transfer: The seller makes the equipment available at their site (factory or warehouse). The buyer assumes all costs and risks from that point forward.
  • Best Used For: Buyers with established logistics networks or local freight forwarders in the country of origin. Works across all transport modes (multimodal).


2. FAS — Free Alongside Ship (Named Port of Shipment)

  • Risk & Cost Transfer: The seller delivers the machinery alongside the vessel at the designated port of departure. The buyer handles loading onto the ship and all subsequent freight costs.
  • Best Used For: Heavy bulk cargo, oversized machinery, or non-containerized heavy equipment placed directly on specialized port terminals. Maritime shipping only.


3. FOB — Free on Board (Named Port of Shipment)

  • Risk & Cost Transfer: The seller delivers and loads the cargo onto the ship. Once the equipment is safely on board, risk shifts to the buyer. While the seller may assist in booking ocean freight, the buyer bears the cost.
  • Best Used For: Standardized shipments, containerized parts, or breakbulk cargo. One of the most common terms in international machinery sales. Maritime shipping only.


4. FCA — Free Carrier (Named Place)

  • Risk & Cost Transfer: The seller delivers the cleared equipment to a specified location in the origin country (e.g., a transit warehouse, freight forwarder, or rail yard). The seller pays expenses until the cargo reaches this agreed-upon point.
  • Best Used For: Versatile logistics operations using truck, air, rail, or containerized shipping (multimodal).


Advanced Freight Terms: Insurance & Main Carriage Covered


5. CFR — Cost and Freight (Named Port of Destination)

  • Risk & Cost Transfer: The seller pays all transport costs to bring the equipment to the destination port. However, risk transfers to the buyer as soon as the equipment is loaded onto the vessel in the origin country.
  • Best Used For: General non-containerized cargo and heavy machinery via ocean or inland waterway shipping.


6. CIF — Cost, Insurance, and Freight (Named Port of Destination)

  • Risk & Cost Transfer: The seller covers all ocean freight charges and purchases baseline maritime insurance to the destination port. Note: Risk shifts to the buyer once loaded on board at origin, even though the seller pays for transit and insurance.
  • Best Used For: Global trade benchmarks. CIF price is heavily used by customs authorities to determine customs valuation and import duties. Highly recommended for ocean freight.


7. CPT — Carriage Paid To (Named Place of Destination)

  • Risk & Cost Transfer: The seller pays all freight costs to deliver the machinery to an agreed-upon destination point. Risk transfers to the buyer as soon as the cargo is handed to the first carrier in the origin country.
  • Best Used For: Multimodal transportation involving combined road, rail, air, or sea delivery.


8. CIP — Carriage and Insurance Paid To (Named Place of Destination)

  • Risk & Cost Transfer: The seller pays freight and comprehensive insurance costs to the destination point. Risk passes to the buyer upon delivery to the first carrier at origin.
  • Best Used For: High-value utility trucks, specialized fleet vehicles, and multimodal freight requiring end-to-end insurance coverage.


Delivered Terms: Maximum Seller Responsibility


9. DPU / DAT — Delivered at Place Unloaded / Delivered at Terminal

  • Risk & Cost Transfer: The seller covers all costs, international freight, and risks until the machinery is unloaded at the designated terminal or destination site.
  • Best Used For: Turnkey shipments across all transport modes where destination terminal handling is critical.


10. DAP — Delivered at Place (Named Destination)

  • Risk & Cost Transfer: The seller handles all transport and risk until the vehicle or equipment arrives at the buyer’s specified location, ready for unloading. The buyer remains responsible for import customs clearance, taxes, and duties.
  • Best Used For: Door-to-door equipment delivery without the seller taking on destination customs brokerage.


11. DDP — Delivered Duty Paid (Named Destination)

  • Risk & Cost Transfer: The seller assumes total responsibility. The seller pays for transit, export/import customs clearance, duties, taxes, and final delivery to the buyer's door. The buyer has zero administrative friction.
  • Best Used For: Buyers seeking a hassle-free, all-inclusive purchase experience.
